This policy explains how we look after your safety, your privacy, and your comfort whenever you and the Practitioner work together in person, and the professional standards the Practitioner follows face to face. It applies to every session delivered in person, which means every session delivered in your home, as described below. It is written to reassure, and to set out clearly what you can expect and what you are always free to ask for.

The Services are provided by Piotr Kardas, trading as HealthySwitch.Me, a sole trader ("we", "us", "our"). "You" and "your" mean the individual who receives the Services. "The Practitioner" means Piotr Kardas, a Prostate Cancer Exercise Specialist, Registered Clinical Exercise Physiologist. "In-person Session" means a session of one-to-one specialist exercise rehabilitation delivered face to face in your home, and "In-home Session" has the same meaning. In-person sessions are home visits: each is a single appointment at your home, within London or Surrey, which the Practitioner may offer you after your consultation and arranges individually with you (a "Home Visit", as the General Conditions of Service, "the Terms", define it). Every other appointment is delivered online, by live video call. This policy forms part of, and should be read alongside, the Terms, our Clinical Disclaimer, and our Privacy Policy.

Nothing in this policy affects your statutory rights as a consumer, or your rights under the Equality Act 2010 or the UK GDPR and the Data Protection Act 2018.

1. What this policy is for

1.1 In-person sessions are a considered, professional service. This policy describes the standards the Practitioner keeps so that every in-person session in your home is safe, respectful, and comfortable for you, and so that both you and the Practitioner are protected.

1.2 Specialist exercise rehabilitation is not healthcare, diagnosis, or treatment. The Practitioner is a Prostate Cancer Exercise Specialist, Registered Clinical Exercise Physiologist; he does not diagnose, prescribe, or provide healthcare, and he does not present the Services as healthcare, because those matters remain with your own healthcare team. This policy sits alongside the fuller explanation of what the Services are, and are not, in the Clinical Disclaimer and the Terms.

1.3 You are always welcome to ask any question about how an in-person session will work before it happens. If anything here is unclear, please contact us using the details in Section 9.

2. How an in-person session works

2.1 In-home sessions take place at the address you give us when the visit is arranged. In each case the Practitioner will agree the date and time with you in advance and will let you know if anything changes.

2.2 The Practitioner will carry identification and will be happy to show it to you on arrival. If you would like to confirm the Practitioner's identity before a session, please contact us using the details in Section 9 and we can confirm it with you.

2.3 A session involves guided exercise. Most of it is spoken guidance and demonstration. From time to time it may involve closer physical contact, for example steadying you, checking your posture, or guiding a movement by hand. The Practitioner will always explain what is being done and why, and will ask for your agreement before any hands-on guidance. You can decline any part of a session at any time, and the Practitioner will adapt what is offered.

2.4 You remain in control throughout, wherever the session takes place. You may pause or end a session at any point.

3. Background checks (DBS)

3.1 We believe you should be able to see plainly what checks the Practitioner holds, without overstatement.

3.2 The Practitioner holds a Basic Disclosure and Barring Service (DBS) check. [CONFIRM BASIC DBS HELD; supply certificate date. State any further check ONLY once it has actually been issued.]

3.3 One-to-one specialist exercise rehabilitation does not ordinarily involve the personal care that would make it "regulated activity" under the law that governs DBS checks. Because of this, a Basic DBS check is ordinarily the disclosure that applies to this type of work. [CONFIRM with a DBS umbrella body the DBS level actually available for this role before publication, and state only the check actually held.] We tell you this so that the position is clear and honest.

3.4 We do not describe the Practitioner as "fully DBS-checked", and we do not claim an Enhanced check or a barred-list check that is not held. If a further check is ever obtained, this policy will be updated to state exactly what has been issued, and nothing more. [If an Enhanced-level check is later issued through a DBS umbrella body, replace 3.2 to 3.4 with the accurate wording for what is actually held.]

4. Having someone with you, and the chaperone standard

4.1 You are always welcome to have someone present. For any in-person session in your home, you may choose to have a family member, friend, partner, or carer in the room, or nearby, while the session takes place. You do not need to give a reason, and it will never change the quality of the service you receive.

4.2 A recognised professional standard. In line with the professional standards followed in health-adjacent settings, the Practitioner may ask for a third person to be present for any part of a session that involves closer physical contact, for example hands-on guidance of posture or movement. This is a professional safeguard for both you and the Practitioner. It is a standard practice and is never a comment on you.

4.3 A third person who is present in this way is sometimes called a chaperone. The third person is someone you arrange, from the people you trust: a family member, friend, partner, or carer, including, if you prefer, someone of the same sex. As a sole practitioner, the Practitioner works alone and does not supply or arrange chaperones. If a suitable third person cannot be present for a session that needs one, the Practitioner will adapt the session so that the work in question is not carried out, or will offer to rearrange that part for a time when a third person can be present.

4.4 We keep a simple record. So that the position is always clear, the Practitioner records, in a short private note, that the offer of having someone present was made, and what was agreed: whether a third person was present and, if so, who they were, or that you preferred to proceed without one. The offer is made when your in-person sessions are arranged and confirmed at the first in-person session, and the note is made at that point. The note for each session also records that the Practitioner explained, and that you agreed to (or declined), any hands-on guidance carried out in that session. This record protects both you and the Practitioner. It is held in line with our Privacy Policy.

4.5 Whether or not a third person is present is, wherever possible, your choice. The only exception is that the Practitioner may decline to carry out a specific piece of closer-contact work if no third person is present, as described in Section 4.3. In that case the rest of the session continues as normal.

5. Recording

5.1 Neither you nor the Practitioner will make an audio or video recording of any part of a session without the other's prior written consent. This protects the privacy of everyone involved.

5.2 If, at any time, you would like part of a session recorded, for example so that you can follow the guidance again later, please ask. The Practitioner will consider it and, if agreed, will confirm the arrangement in writing beforehand. The same applies if the Practitioner ever proposes a recording: it will not happen without your written agreement.

5.3 Many homes have devices that record sound or video, for example a video doorbell, an indoor security camera, or a smart speaker. If a device in the space where a session takes place records in this way, please let the Practitioner know before the session so that it can be paused, repositioned, or agreed between you. A device that has been disclosed and agreed in this way is not a breach of this section.

6. A safe and respectful environment for everyone

6.1 We treat every client and every home with respect, and we ask the same in return. In-person sessions work best in a calm space with room to move safely.

6.2 In the interest of everyone's safety, the Practitioner may decline to begin, or may end, a session if the environment is not reasonably safe to work in, wherever the session takes place. Where this happens, we will offer a suitable alternative where we can, such as a session by video, or we will rearrange the session where reasonably possible. A session declined or ended under this section is never simply forfeited at the Practitioner's discretion: the fee consequences are those set out in our Refund and Rescheduling Policy, and your statutory rights are unaffected.

6.3 This is a mutual protection and is not directed at any client. It exists so that in-person sessions remain safe and comfortable for both you and the Practitioner.

7. Safeguarding

7.1 The Practitioner works with adults who may, at times, be vulnerable, and takes that responsibility seriously.

7.2 If, during our work together, the Practitioner becomes genuinely concerned that you or another person is at risk of serious harm, abuse, or neglect, the Practitioner may share relevant information with the appropriate authority, such as adult social care, the emergency services, or another body with responsibility for safeguarding. Wherever it is safe and appropriate to do so, the Practitioner will discuss this with you first.

7.3 This is a standard and responsible part of working in a health-adjacent setting. It is not something most clients will ever encounter, and it is set out here so that you know the Practitioner will act properly if a serious concern ever arises. How personal information is handled, including in these situations, is explained in our Privacy Policy.

8. Insurance

8.1 We hold professional and public liability insurance appropriate to in-person and in-home work. [INSURER NAME + POLICY NO; confirm cover for in-home visits, and reflect any insurer-mandated screening, chaperone, or record-keeping requirements before publication.]

9. Questions, requests, and raising a concern

9.1 If you would like to ask about any part of this policy, request that someone be present at your sessions, confirm the Practitioner's identity, or raise a concern, please contact us:

  • Email: contact@healthyswitch.me
  • Post: 167-169 Great Portland Street, 5th Floor, London W1W 5PF

9.2 If you wish to make a formal complaint, our Complaints Procedure explains how, and what to expect.

10. Changes to this policy

10.1 We may update this policy from time to time, for example to reflect a change in the checks the Practitioner holds, in insurer requirements, or in the law. The version that applies to your booking is the version in force when you make that booking. We will publish the current version on the Website with its effective date.

This policy takes effect from 1 October 2026.
